A few weeks ago, when I logged into QuickBooks Online, I had stars next to QuickBooks Online Firm Account names. Yay!
This means I no longer need to scroll down a list of QuickBooks Online Accountant or Company firms and select the correct QuickBooks account I want to work.
Instead, by determining where you place stars, a favorite’s list is created to make choosing the QuickBooks Online Firm Account easier.
Just Like Reports Favorites
Like QuickBooks Online report favorites, when you start a report, the preferred favorite report is added to your list of favorites at the top reporting section, creating a group of all favored reports for easy selecting.
This same approach is how you can choose QBO's favorite account files. I thought I was the only one who suffered from a horribly long list of QuickBooks Online company files. I never expected this delightfully surprising feature.
But there must be enough of us out there who have been invited to join other accounting firms’ QuickBooks Online files, or it might be even you who has more than one accounting firm, which creates the need for having more than one QuickBooks Online Accounting firm.
Another addition is the clear visibility of QuickBooks accounts and access type groupings. I have placed arrows next to the groups for you to see in my list. For example, I have QuickBooks Online Accountant files, QuickBooks Online companies and QuickBooks cancel files. These grouping options make it easier to choose the group needed for direct access.
When we set up QuickBooks Online firms back in the day, the best practice was to create a new QuickBooks Online Account (QBOA) firm realm. But instead of having an individual create the QBOA firm realm, the recommendation was to use an admin email address instead of the business’s owner or team member’s email address.
Using this method created a scenario where there was no one person in charge of the QBOA file, but instead, the QBOA firm really belonged to the firm, and all necessary team members could be added to the realm. This practice is not used or taught as much since adding QBOA team members and assigning leads to clients is more manageable.
Creating Favorites
If you want to favorite your QuickBooks Online files, follow these steps:
- Use your QuickBooks Online login credentials
- Select the stars next to your favorites
- Done
Note: The favorites you create are only linked to the browser you are working in. If you work from multiple computers or chrome accounts, you will need to recreate the favorite list for each access point the first time.
The big news for those who get invited to multiple QBOA files or even to QBO company files is that you now can create a favorite list to make it easy to get work done.
