Recently there has been a lot of discussion about the ability, or inability, to import QuickBooks files from QB-Enterprise to QuickBooks Online. Before you start you must know two very import things: 1. YOU MUST be logged-in as the Administrator in both the Desktop file and QuickBooks Online. 2. Your QuickBooks Company file CANNOT have 350,000 or more targets (regardless of file size).
To Verify the Company File is Eligible to Convert:
- Open QuickBooks Enterprise Solutions
- Press the F2 key (or CTFL + 1 keys) to open the ‘Product Information” window
Product Information Target Check
- Verify that the Total Targets is less than 350,000 (Total Targets are circled in Red in the above illustration.)
.
To Convert your QuickBooks Enterprise File to QBO:
.
Step 1 – With the Product Information window still open, press the Ctrl + b keys followed by Ctrl + q keys
Step 1 - QBES 2 QBO
Step 2 – Click OK to close the Product Information window. QuickBooks will begin loading the following window.
Step 2 - QBES 2 QBO
(Note: It can take a few seconds for this window to begin to load; if it does not appear, Re-open the Product Information Window and then repeat Step 1 above. Make certain to close the Product Information window after the control-key commands, this window will not appear if that window remains open.)
Step 3 – Enter the QuickBooks Online User ID and Password for your QBO Account; these credentials must correspond to an Administrator level User. Agree to the Terms of Service, and click Submit.
Step 4 – Either pick the QuickBooks Online Company you want to import your data into, or select the option to Create a new QuickBooks Online Company. (Note: If an existing QBO Company file is selected, your QuickBooks Desktop file will replace your entire QuickBooks Online file and overwrite any existing information.)
Step 4 - QBES 2 QBO
Step 5 – Select whether you want to import only ‘Lists and balances’ or ‘All company data’ from your QuickBooks Enterprise Company file into your QuickBooks Online file.
Step 5 - QBES 2 QBO
Step 6 – If all goes to plan, you should get a window that looks like the one shown below. Click the ‘OK, got it’ button.
Step 6 - QBES 2 QBO
(Note: Intuit will send an email to the email associated with the QBO User ID when the file has been incorporated into the QuickBooks Online Company file.)
Step 7 – When you have received Intuit's email that your data has been incorporated into your QBO Company file, log-in to your QuickBooks Online account. Begin the process of comparing your Online Data with your Desktop Data, this should include ALL financial reports, for each fiscal period if you selected the option for 'All Company data'. For details about what data you should verify, consult the Intuit Technical Support article titled, What to do after completing an import to QuickBooks Online from QuickBooks Desktop Mac/Windows (US).
Tips:
- Make certain you are using a 32-bit version (not a 64-bit version) of Internet Explorer when attempting to upload QuickBooks Enterprise files to QuickBooks Online.
- Make certain that ‘Protected Mode’ for Internet Explorers Internet ‘Security’ Options has been deactivated (un-check the Enable Protected Mode check-box).
- Insure that both https://qbo.intuit.com and https://lvdc.qbo.intuit.com are Trusted Sites under Internet Explorer Security.
- Insure that your Internet Explorer Security Zone settings are set no higher than ‘Medium’ (Low is preferred) during the upload/conversion.
- If you receive any errors regarding the file you're importing, see the Intuit Technical Support article titled, Errors Importing to QuickBooks Online.
Remember:
You can only import QuickBooks Desktop data within the first 60 days after having set-up your QuickBooks Online subscription.
Be aware that not all QuickBooks Enterprise Solutions data can be converted to QuickBooks Online; for a complete list of import limitations, see the Intuit Technical Support article titled, Why some data doesn't come over from QuickBooks desktop.
