Getting receipts and bills into QuickBooks is convenient and fast. Until now you have been able to forward them to receipts@quickbooks.com so you could then see them in your Receipts tab. There was just one problem, if you had multiple QuickBooks companies that didn't work because receipts@quickbooks.com had no way fo know which QuickBooks company was the correct QuickBooks file to associate with a specific receipt.
Now the problem can be resolved simply by setting up one unique customizable email address per QuickBooks company. That way every receipt or bill you send via that customized email will get associated with the correct QuickBooks file. Here are the steps:
Customize an email address to forward receipts/bills
Customize an email address for your receipts and bills to be uploaded to one specific QBO file.

Create a custom email address so you can forward images of your receipts and bills, even when you're on the go. To create the custom email address:
- Go to the Banking menu or Transactions menu.
- Select the Receipts tab.
- Select Customize email.
- Create a customized email address. It will have @qbodocs.com at the end.
- When you're ready, select Customize email and then Confirm. Note: Once you claim an email address, you can't change it.
- On the last screen, select the users who are allowed to forward emails to your new email address.
Notes on managing users and addresses:
- You can only register one email address per user for your company. Here’s how to change the email address associated with your QuickBooks user account.
- In the Receipts tab, you can always select Manage Senders to manage which users can email receipts and bills.
- For users to send receipts and bills, they need to be at least a standard user with vendors permissions.
- If you have a Gmail address with a + sign in it, you may not be able to register your email address.
Another great feature that has been needed for some time, and now we have it. Thanks Intuit for listening to our feedback and making QuickBooks Online better, especially for those of us that have to deal with multiple company files.
