QuickBooks Users with QuickBooks Time no longer need to switch between the two applications in order to gain access and view employee time. This functionality within QuickBooks is only available with a current QuickBooks Time subscription.
Recent enhancements allow QuickBooks users, with a QuickBooks Time subscription, to see more detailed timesheet information in QuickBooks Time entries, including time tracked, GPS points, contractor time, attachments, notes, employees that are missing pay rates, and more.
Choose a single date in the Time entries date picker to view entries from that day; just choose Date to see all individual timesheets with details.
Then select Show columns to customize how to view the hours and which columns you see on the timesheets:
1) Details: lets you view GPS points and any attachments included on the timesheet.
- GPS tracking only works if team members are clocking in through QuickBooks Workforce.
- GPS points can be pulled at clock in or out, opening the app, switching job codes, and periodically while on the clock.
- GPS points can't be changed or edited after they’re recorded.
- Admins and managers can only view GPS points when the device syncs with the QuickBooks Time account.
- If a manager clocks a team member in remotely, location isn't displayed until the team member confirms their shift from their mobile device.
2) Flag: if a team member doesn’t clock in within their designated geofence.
- Geofencing, only available in Elite accounts, will be automatically enabled, but has some additional setup before you can start using it to track your team.
- Finalize geofencing setup by going to Company Settings, select Location, then tracking.
- Location tracking is required for geofencing. Team members must turn on location services on their device, either High Accuracy for Android or Precise Location for iOS.
- A geofence must also be added for customers or jobs to track team members.
3) Status: (this column is displayed in the example above) to see whether a timesheet has been approved or not.
Choose a single day in the Time entries date picker to view entries from that day.
- You can search by team member to filter for an individual’s timesheets.
- Sort information in the Time entries table by columns as needed.
- Review the new In/Out via column to see which device an employee used to clock in and out.
Choose All workers to see all worker time ready for approval.
- Select the date range, then in the Status drop-down, select Unapproved.
- You can configure alerts if an employee has tracked overtime.
- To review timesheets, select the team member’s Name you want to review.
- Make sure all the info is correct, then select Approve time, and select Approve and lock time.
- If you find that you subsequently need to make changes you must first Un-approve an employee’s time
As with many other QuickBooks features, the roll-out of features such as this may differ on the basis of your QuickBooks Subscription type or other date considerations. Therefore, some users may have this feature already, and others should soon see it.
So now, QuickBooks Time users can access more 'time' features within QuickBooks without having to switch to QuickBooks Time, and that improves efficiency and effectiveness of QuickBooks Time functionality for QuickBooks Admins, Managers and users.
