Intuit is updating QuickBooks Desktop’s shipping feature to provide enhanced security, greater convenience, and more choices for managing the user’s shipment needs. The brand-new interface within QuickBooks Desktop 2024 (and higher versions) will reportedly provide a more user-friendly shipping experience.
About the Roll-out of the New Shipping Experience
Intuit will continue making the current ‘Shipping Manager’ available within supported QuickBooks Desktop versions until May 31, 2025; however, the new experience may become available before that date. After May 31, 2025, QuickBooks Desktop users won’t be able to use the current ‘Shipping Manager.’ That means specific data within that feature will not be accessible after that date; therefore, preliminary steps must be taken to ensure the availability of that data.
What’s Changing with the New Shipping Experience
The new ‘Shipping Manager’ will use OAuth (Open Authentication), which typically connects many apps to QuickBooks Online. The change to OAuth is being made to allow various shipping carriers limited access to your data as part of their services, based on the authorization permissions QuickBooks Desktop ‘Admin’ users approve. OAuth enhances the security of connected services through the authorization protocols it employs. As a result, QuickBooks Desktop users will experience:
- Enhanced security through advanced security measures designed to protect your data and login credentials.
- Seamless tracking of shipments from within QuickBooks Desktop without needing to switch to a shipping provider’s platform.
- Rate comparison functionality allows users to browse and compare shipping rates based on label information (pick-up location, destination, package size, package weight, package shipping priority, etc.).
- A wider range of shipping carrier options giving you better shipping rates and services to meet your requirements.
What current Shipping Manager users need to do before May 1, 2025
Current ‘Shipping Manager’ users should download any shipping-related data incorporated into that feature. This includes shipment dates, customer contact details, tracking numbers, transaction references, estimated shipping charges, carrier services you’ve connected to, and cash-on-delivery (COD) details (if any).
How to Download Your Shipping Data:
1) Login to your QuickBooks Desktop Company file,
2) Select File, then choose Shipping.
3) Select the Shipping Carrier for which you need to download details. (Note: you can only download one Shipping Carrier’s data at a time.)
- For FedEx, select FedEx Shipping Options.
- For UPS, select UPS Shipping Options.
- For USPS, select USPS Shipping Options.
4) Choose Track or Cancel a Shipment
5) Select the Date Range for which you wish to download your shipping data.
6) Choose Report, then select Print.
7) Choose Save as PDF as your destination printer in the print preview window.
8) Select a location on your computer to save the PDF file, then choose Save.
9) Repeat these steps for each carrier (FedEx, UPS, and USPS) and any additional date ranges to create a complete record of your shipping history.
Migrate to the New Shipping Experience
When the new Shipping Experience becomes available, ensure you have downloaded your existing shipping date for shipments before you intend to migrate to the new Shipping Experience, but not later than May 31, 2025. After downloading your shipping history, you can configure the new Shipping Experience to use the new user interface and functionality.
