Intuit has made provisions so that all clients with expired or cancelled Desktop subscriptions will have the peace of mind that they can easily access their data if needed. This can be done using a new view-only mode, which will be available for one-year after their subscription ends if they have at least updated to a QuickBooks Desktop 2023 (R3) version or higher prior to the time their subscription expires or is cancelled.

This capability also is designed to provide Desktop clients migrating to QuickBooks Online with the ability to view their historical Desktop QuickBooks file without the expense of having to maintain a secondary subscription for a desktop product.
With this new capability, only Company File Admin users will be able to view reports. It is recommended the Admin user log-in to their Company file using Single-user Mode, rather than Multi-user Mode.
Intuit also recommends you switch your file from multi-user hosting to single-user prior to cancelling, or otherwise ending, your subscription.
Remember, this is view-only mode, functionality is limited, you will not be able to create/edit/delete any transactions, nor will you be able to access any third-party applications that may have been linked to your QuickBooks file.
When using QuickBooks Desktop 2023 (R3) or higher in View-only Mode, the Admin user can go to Reports, open any report, view the report as you normally would, and even Export the report.
To export the report, select Excel on the report toolbar to create a new worksheet (or update an existing one). Reports also may be Printed or Saved as a PDF while in the view-only mode.
This functionality is only available on the 2023 versions of ProPlus, PremierPlus and Enterprise(v23). It is not available on QuickBooks for Mac Plus or QuickBooks Point-of-sale. Additionally, view-only mode is not available with officially hosted versions on Intuit Cloud Access using Right Networks.
