QuickBooks Advanced allows you to have up to five budgets, and if you or your client routinely build budgets elsewhere, or your build your client's budget for them, the tedious and error-prone process of manually copying it into QuickBooks Advanced is no longer needed.
With QuickBooks Advanced you can use a .csv template to either create or serve as the basis for mapping .csv files so they can be directly imported into QBA to create a new budget.
Create Budgets in QuickBooks Advanced
Sign into QuickBooks Advanced as a user with permission to access, create, or delete budgets. Then follow these steps:
Make sure the beginning of your fiscal year is set in QuickBooks Advanced. While you can create a budget any time, it helps to start your budget at the beginning of the fiscal year. Budgets are fiscal year based, they can not cross-over between fiscal years.
Make sure you have the information you need to build your budget. Most likely you will build your budget by making assumptions based upon your most recent past fiscal year.
- You build your budget in a spreadsheet using a QuickBooks Advanced supplied template which you download as a .csv file from QuickBooks. To Download the template:
- From the Left-hand Navigation Bar, select Budgets.
- Choose Import Budget.
- Select the Sample.csv to download the budget template. Be certain to save it where you can easily find it.
- Open the .csv budget template in either Excel or Google Sheets to begin the process of creating your budget:
- Enter the amount you wish to budget into each of your accounts (which QuickBooks Advanced populated into the budget template from your Chart-of-accounts) for each of the months for your budget year (which QuickBooks Advanced populated based upon your fiscal year).
- Do not add any new columns or rows to the budget template.
- If you need to add accounts to your budget accounts, you must add them to your Chart-of-accounts before you download the budget template.
- Make certain to 'Save' your budget template file with your data prior to attempting to upload it back to QuickBooks Advanced.
- Now you are ready to upload your budget into QuickBooks Advanced using these steps:
- From the Left-hand Navigation Bar, select Budgets.
- Choose Import Budget.
- Select Browse
- Locate and Choose the Budget.csv template file you completed.
- QuickBooks Advanced will import your budget.
- Review you Budget and Name it.
- Make certain the amounts you entered for each account and each month are accurate. You can edit figures if required.
- Once you are satisfied that your Budget is accurate within QuickBooks Advanced, select Save.
This enhancement not only expands the capabilities of QuickBooks Advanced but greatly streamlines the budget workflow and enhances the functionality and performance the product offers to those using it.
