Intuit recently announced the release of QuickBooks 2022 Desktop. The Author has been evaluating various pre-release versions of these products for almost a year and has spent hours communicating with Intuit personnel, including product managers and developers, so we can help you learn about the new products. This article is one in a series of individual product features intended to provide additional content to that found in our QuickBooks Desktop 2022 Product Summary.
About the Attach Documents using the QuickBooks Desktop Mobile App feature
In my opinion, this feature is very similar to the new upload Bills feature. It uses the same mobile functionality (Android or iOS) but a different option within the QuickBooks Desktop Mobile App.
With this feature, users can scan and upload documents of almost any type (text, diagrams, copies of transactions, graphics, etc.) and then send them to the QuickBooks Attachment Center, where they appear on the Mobile tab. When users enter transactions in QuickBooks, they can easily access these documents and attach them if required.
This new functionality will be available to all QuickBooks Desktop 2022 users, including Pro Plus, Premier Plus, QuickBooks Desktop Accountant, and all QuickBooks Desktop Enterprise Solutions (v22.0) versions in the United States.
How to Attach Documents using the QuickBooks Desktop Mobile App
- You must first install the QuickBooks Desktop Mobile App. Whether you use an Android or iOS mobile device, you must download the app from either the Google Play Store or the Apple App Store. If you have a previous version of the QuickBooks Desktop Mobile App, you will have the option to update the app. Next, download and install the app on your device.
- From your QuickBooks Desktop Mobile App lot into your Intuit Account by navigating to the hamburger menu on the top left and selecting Sign-in.
- Enter your Intuit account Username and Password; this must be for the same Intuit account corresponding to the QuickBooks Desktop Company file to which you wish to upload documents.
- If you are asked to validate your Intuit account, select the verification method you wish to use, either Email or Text-message.
- You will receive a 6-digit code from Intuit (via your chosen method: Email or Text) that must be entered into the QuickBooks Desktop Mobile App.
- You may need to select your QuickBooks Company file if you have more than one Company file associated with your Intuit login credentials.
- You are ready to begin the document upload process. First, on the Home Page, select the Document option.
- Now choose Snap document (as shown below).
- Snap a picture of the document you want. You may be asked to grant permission for the app to have access to your phone's camera, be sure to answer OK. Once you have snapped the picture, if you are happy, select Use this photo.
- Provide a Name and Memo for the picture that you want to be associated with the uploaded document (as illustrated in the example below).
- Click Upload to begin the upload process.
- Once the document upload is finalized, QuickBooks displays the message "Document uploaded", you need to acknowledge completion of the process by selecting OK. You have the option of starting a new document upload simply by selecting Upload new document, which takes you back to the Snap step.
- Uploaded documents will be posted into the QuickBooks Attachment Center under the Mobile tab. Go to the Company menu in your QuickBooks Desktop, select Documents, choose Document Center, and select the Mobile tab. This folder lets you view all the documents you added from your mobile device.
- From this point on, attaching documents uploaded from the mobile device app is essentially no different than attaching any other document you upload to QuickBooks Desktop by another method.
