Intuit recently released QuickBooks 2022 Desktop. The Author has been evaluating various pre-release versions of these products for almost a year and has spent hours communicating with Intuit personnel, including product managers and developers, so we can help you learn about the new products. This article is one in a series of individual product features intended to provide additional content to that found in our QuickBooks Desktop 2022 Product Summary.
About the Select Multiple Emails feature
Select Multiple Email Contacts (which may be called Choose multiple email customer contacts at the time of release) allows users to select from multiple email addresses of a Customer, Vendor, or Employee. The ability to choose various emails prevents you from changing the primary Email if you're contacting different people. In addition, QuickBooks allows you to select emails from a drop-down of all the emails associated with the recipients every time you email them. You can also add, edit or delete email addresses from their email forms with ease.
This new functionality will be available to all QuickBooks Desktop 2022 users, including Pro Plus, Premier Plus, QuickBooks Desktop Accountant, and all QuickBooks Desktop Enterprise Solutions (v22.0) versions in the United States.
How Multiple Email Selection works with Customer Emails
This feature relies primarily upon the emails you set up in the customer, vendor, or employee record, including the Main, CC, Alt 1, and Alt 2 email fields. These Emails will appear in a drop-down to speed up Email address selection when choosing multiple Emails if they have been configured ahead of time (as shown in the example below).
- Assume you wish to send a Customer an Invoice, like the one shown in the example below.
- When you are ready to select the option to Email the Invoice, you will notice that the Main Email is pre-populated in the To field. (Multiple emails will be pre-populated as comma-separated fields).
- Click on the drop-down for the To field, and you will see that the emails from the CC, Alt 1, and Alt 2 fields appear in the drop-down menu. You can include as many of these email addresses in your outgoing Email transmittal as you need (shown below).
- You can also type a new Email address in the field to add any additional email not already in the list from the drop-down menu.
- From this point, the send Email process is no different than the procedure previously used within QuickBooks Desktop versions.
Emailing Multiple Invoices (or forms) with Multiple Emails
Many times, you send out multiple emails simultaneously, but you may need to send some emails to multiple recipients as well. The new select multiple Email feature meets this requirement as well.
- Once you have selected Invoices to be sent to customers from the Send Forms menu, you can add more Email addresses to those Invoice emails by clicking on the Drop-down next to the existing Email address and selecting any Email address listed.
- You can remove any Email address already listed simply by using the close/cross icon next to any email address.
- You can also type a new Email address in the field to add any additional Email not already contained in the list from the drop-down menu.
- You can do this for each of the Invoices shown.
- Once you are satisfied with your choices of email addresses, click Send Now to transmit the Invoices via Email to your customers.
