You may have been having problems processing payroll* or at least processing direct deposit payroll since April 15. This results from a federal mandate regarding verifying certain business identification information, including your business identity and principal officer.
It doesn’t matter what type of business you are—sole proprietor, partnership, C-Corp or S-Corp—because all business types are subject to verification. For example, federal regulations require payment processors, including those handling payroll or direct deposit transactions, like Intuit, to verify business identification information and principal officers.
Even if you have had a long-standing relationship with Intuit, some information may need to be "re-verified" for your payroll transaction account(s) to remain active. Previously, you could enter information on your own in the appropriate windows of the QuickBooks or subscription service "billing" information.
Still, it seems that information has been updated to include additional requirements you may be unaware of unless you check it before you are notified your account has been suspended.
Note: Your QuickBooks Payroll "subscription/company information window" may look different than the one shown above depending upon your specific payroll subscription (online or desktop).
Generally, you can access your suspended account information by logging into your impacted account as an account administrator (for example, your payroll service account), proceeding to your payroll subscription information and checking for "missing fields."
- Make sure your legal name matches the information in QuickBooks.
- Make sure your EIN/SSN match.
- Ensure your company type (tax form type): Sole proprietor, C-Corp, S-Corp, etc., is correct.
- Make sure your "industry" type (a numerical indicator for the kind of business operation is correct.
- Make sure the Name of the Business Principal (Owner) is correct.
- List the last four digits of the owner’s SSN or the whole SSN, as requested.
- List the owner’s address (which may differ from the business address).
- Verify or correct all other information already listed or requested.
Typically, within 20 seconds to 30 seconds after you complete the requested information, your account will update successfully. You can then process payroll, including direct deposits, normally.
