QBO Direct Deposit Payment Check Status

Recently I wrote about the addition of a new feature for QuickBooks 2020, and users of QuickBooks Desktop Payroll, that allowed them to check the status of direct deposit paychecks without having to wait on emails or contact customer support. One reader wrote in saying, 'what's the big deal about that, I get emails in only minutes after submitting,' another wrote in saying, 'it would be nice if we had that in QuickBooks Online.'

Well the reality is that QuickBooks Online users with QBO Payroll do have such a feature, last December the Payroll team added a column to show the processing status of paychecks being paid using Direct Deposit. But recently they enhanced this feature by adding a new 'status explanation' pop-up box that delivers a detailed explanation of exactly what any specific displayed status means (as shown below).

To check Payroll Check Direct Deposit status when using QuickBooks Online Payroll:

  1. Go to Workers and select Employees.
  2. Select Paycheck List.

You’ll see of the following status of the paycheck listed (in the status column) and one of the new detailed descriptions (shown below) will now be displayed in a pop-up (as illustrated above) when hovering over the status:

  • Scheduled: We have everything we need to send this check to the bank and pay this employee on. Need to make changes? Select the net pay amount before PT to modify or delete the check.
  • Processed: We already sent this employee’s paycheck info to the bank and aren’t able to make any more changes. This employee will be paid by the end of the day on < date>.
  • Returned: We ran into a problem with this employee’s bank account and couldn’t pay them via direct deposit. Watch your email for details on when we’ll return these funds to your bank account. Be sure to void this check and either create a new one after correcting the employee’s bank account information, or set the pay method to paper check.
  • Canceled: Direct Deposit was not included for this paycheck.

You will see No status displayed in the status box if a paper paycheck was issued because Direct Deposit was not the processing method, and status reflects only Direct Deposit processed paychecks.

This enhanced QBO Payroll Direct Deposit Status Tool streamlines the process for QBO users of checking the status of direct deposit paychecks in exactly the same way that the new 'Payroll Status for Direct Deposited Payroll feature' does for QuickBooks Desktop Payroll users with QuickBooks 2020. It's another sign that there is synergy in the way that features are being developed across both the cloud and desktop platforms, and that just makes sense, at least to 'the author.'

By the way, I'm writing this week's QBO feature because Liz has been on Intuit Trainer/Writer duties last week and this week and is swamped with those responsibilities, so I thought I would toss my hat once again into the 'QBO' arena in terms of writing some content, especially after 2-1/2 weeks of QuickBooks Desktop 2020 content.
