QuickBooks Online Payroll has launched three new payroll subscriptions: Core, Premium and Elite. To keep you informed, this payroll series will guide you through steps for setting up and configuring your payroll account to meet the needs of your clients' business. In our prior installments of this series we covered the 'basics of what you need to know', and 'essential steps in set-up'.
This article is focused on TSheets and QuickBooks Online Payroll. TSheets by QuickBooks is a time tracking App that can be integrated with QuickBooks Online Payroll or used as a standalone product. With an active QuickBooks Online Payroll Premium or Elite subscription, TSheets can be accessed and launched directly from inside QuickBooks Online.
TSheets can schedule employee jobs or shifts, send out alerts to employees, and track time through a mobile app or browser. With a few steps, TSheets timesheets and time-related job time can be imported directly to QuickBooks Online Payroll.
Time can either be tracked and approved in QuickBooks Online or inside TSheets, making it easy to run payroll. Customer and job-related time can be challenging, but TSheets employees can track time to a specific customer or job.
TSheets features can be accessed from directly within QuickBooks via the 'Time' menu item on the left-hand menu bar.

Accessing Premium Time Tracking
New Premium and Elite payroll subscriptions can get started with TSheets by activating your TSheets account.
- From inside QBO click Time on the Navigation bar
- Click the Launch TSheets button
- Automatically Employees, contractors, and pay types are synced
- Employees can be automatically invited by email.
Both QuickBooks Online Payroll Premium and Elite subscriptions include TSheets, but Elite Payroll includes TSheets Elite. TSheets Elite has additional features that include; real-time tracking of project hours and labor expenses, geofencing alerts for workers to clock in or out when entering or leaving the job site plus, an activity feed lets team members add and view notes, photos, and project updates from anywhere.
Using TSheets Time in QuickBooks Payroll
To import and approve time with TSheets, go to your QuickBooks Online Overview tab and choose Approve time.
You can approve time recorded in TSheets in either TSheets or within QBO Payroll.

Once the time is approved, you can process payroll. From the Overview tab, select Run payroll.
If you or your client already had TSheets and Self or Full-service QuickBooks Payroll, be sure to contact TSheets to make certain your old TSheets account is properly merged to your new 'Payroll with TSheets' account.

TSheets has a lot of flexibility in the setup. Not only can employee time be synced, but vendor time can be imported as well. Even classes, locations, and different pay items can be imported into QuickBooks every 5 minutes.
Attention ProAdvisors
Remember, as a ProAdvisor, you receive a free QuickBooks Online Plus subscription, QuickBooks Online Payroll Premium, and TSheets. To access these free accounts, login to your QuickBooks Online Accountant dashboard, and choose payroll from the Your Books section of the Navigation bar.
Attention Prior TSheet Subscribers
If you or your client has an existing TSheets account and/or had an existing Self or Full- Service Payroll subscription, you 'must' contact TSheets' support to merge the two versions!
