In February 2022, I included Hour Timesheet as one of several time-tracking apps I reviewed in a series on time-keeping software. At the time, we only briefly mentioned the DCAA compliance functionality of the software.
Now it is time to take a second look at the app, especially as it relates to meeting DCAA requirements.
Hour Timesheet simplifies time-tracking processes and compliance regulations, making it easy for employees and contractors to track time and for managers to view timesheet data 24/7. It also streamlines payroll and time accounting by integrating with QuickBooks.
The software allows managers to calculate employees' working hours and streamline payroll processes, eliminating manual entry.
DCAA Compliant
Hour Timesheet is a DCAA-compliant timekeeping software that meets all FAR compliance requirements. These are some of the key features that make it DCAA compliant:
- Daily timesheet reminders
- Detailed audit log
- Manager approvals
- Reason required for late or edited timesheet entries
- User-assigned authorized charge codes
Access and functionality
Hour Timesheet is subscription-based software* that can be accessed via any internet-enabled computer or downloaded as a free mobile solution from the iOS or Google Play Store.
- Users log in to Hour Timesheet using their email address and a self-generated password
- Upon completing their timesheet, they submit it with an electronic signature verifying completeness and accuracy
- Supervisors are notified when timesheets are completed so they can review and approve them
- Once approved, timesheets can be exported from Hour Timesheet into QuickBooks (see QuickBooks Integration below)
Time & attendance tracking
- Turn any browser, tablet or phone into a sophisticated time clock—set up your time clock and watch all the data sync seamlessly in the cloud.
- Provides simple time and attendance software for employees, contractors and vendors. Track time to job codes, employee leave and leave requests, and job costing and location from your browser or mobile device.
- Get business rules to govern FLSA overtime rules, paid time off and missed punches. Able to restrict future time entry for employees. Includes a feature to require a reason for edited or late timesheet entries.
Leave time management
- Give your employees access to leave balances, including current balance, accrual and carry-over values and earned time.
- Schedule your team from any browser or mobile phone—publish work changes anywhere from the scheduling app.
- Copy over last week's shift schedule or use automatic scheduling, which takes into account your team's availability and roles.
Job cost and location tracking
- Enter each employee's job code's bill rate and pay rate details for simple costing report data.
- The time-tracking app can track time by location. You will have real-time access to in and out punch locations and work details.
- DCAA compliance includes daily reminders for employee hour entry and authorization codes.
QuickBooks Integration
Hour Timesheet integrates with both QuickBooks Online and QuickBooks Desktop.
Integrating with QuickBooks Online
You can bi-directionally sync data between Hour Timesheet and QuickBooks Online with a click of a button. For example, enter new employees, job codes, service items and class lists in QuickBooks, then use the sync feature to import the same information into Hour Timesheet.
Once employees and supervisors have submitted time data, the approved time is synchronized into QBO as Weekly Timesheet entries.
Integrating with QuickBooks Desktop
QuickBooks Desktop's Web Connector is a user-friendly software application that allows web services to exchange data bi-directionally with QuickBooks Desktop. It enables data syncing between QuickBooks Desktop and Hour Timesheet by automating data exchange through automated or manual requests.
Upon the initial integration with QuickBooks Desktop, Hour Timesheet is populated with relevant information such as customer/jobs, service items, payroll items and classes, then whenever timesheets are entered and approved in Hour Timesheet, the web connector syncs the completed timesheets into QuickBooks Desktop.
Whether you want to integrate time data with QuickBooks Online, or QuickBooks Desktop, Hour Timesheet can provide you with fully DCAA-compliant time data.
Hour Time sheet representatives can help you customize your account, set up the platform or navigate QuickBooks.
