Editor’s Note: Our editorial feature topic for January is Making Payments, which means we'll cover myriad articles dealing with accounts payable and other payment topics. Accordingly, our focus will include selected QuickBooks Online and QuickBooks Desktop apps. Because of the number and complexity of apps in this broad category, we'll be covering these in our "App Aware" format. We may cover one or two other articles during the month. Look for these features interlaced with other regular and new bylines from our contributing authors.
Corpay One enables you to scan, pay, and sync bills and payments directly to QuickBooks Online or Desktop (in Beta). This seamless integration also allows you to automate your workflows. Corpay One scans and syncs your bills to QuickBooks. The more you use Corpay One, the brighter it becomes to recognize documents from the same vendors, enabling it to code those expenses.
Corpay One enables you to create custom lists, either pulling directly from your QuickBooks, Tracking Categories or building from scratch in Corpay One. You can leverage Workflows to help you automate processes like putting bills on auto-pay, coding expenses by keyword, and more.
In addition, workflows (shown in the illustration below) allows you to build approval rules to help ensure the right people approve payments.
Corpay One can flag duplicate bills. In addition, the built-in audit trail for every document and vendor—along with customizable team member permissions (shown in the illustration below)—helps in fraud prevention and detection.
Corpay One also makes managing your vendors easy, allowing you to configure how you pay and keep an eye on the vendor's payment-related reporting.
Corpay One automates payments from your business to your vendors, so you don't have to. Fund Check or ACH payments for free or extend your cash flow, and use your credit card for a 2.9% transaction fee (Corpay One bill pay shown in the illustration above).
With Corpay One's virtual card program, you can offer your vendors a faster payment option that streamlines the AP process. And fear no evil, Corpay One's payment processing was built with fraud and money laundering detection to keep your information secure, so you never need to worry if your account and data are safe.
Corpay One offers an advisor edition for accountants and bookkeepers that provides a way to add more value to your firm and grow your business by providing automated accounts payable and expense management to your clients. Corpay One is designed for team use and is flexible enough to create individualized experiences for each of your clients (client dashboard shown in the illustration above).
In addition, you have the option of determining how you pay—you can pass the cost of Corpay One along to your clients or pay for Corpay One yourself and incorporate additional fees into your overall fee for service arrangements.
With Corpay One, you will:
- Easily add your bills, expenses and other payables using email, drag and drop files from your computer or the Corpay One mobile app.

Overall Impression of the App
Corpay One seems straightforward, easy to set up and easy to use. In addition, it offers Accounts Payable features comparable with other A/P solutions that integrate with QuickBooks Online.
Still, since this solution also integrates with QuickBooks Desktop, which has had limited A/P App alternatives, it is worth exploring if you are looking for a way to enhance A/P that involves approval workflows and you are not using QuickBooks Enterprise.
The overall score on the Intuit QuickBooks Online App Store site is 4.0 (based upon 22 ratings). Most of the ratings are positive, but one or two forced their overall score to four. I will let you review these for yourself.
If you want to explore Corpay One for QuickBooks Online, head over to their landing page at the QBO App Store. Even though they integrate with QuickBooks Desktop (in Beta) on their own website, they are not listed in the Intuit QuickBooks Desktop App Store.
You can learn more about their QuickBooks Online integration at this webpage and more about their QuickBooks Desktop integration at this here. In addition, you can create a free account for either app integration to get started if you want to try one of them out.
