OnTheClock can be found at the Intuit QuickBooks Desktop App Store here. While it is a cloud-based time-tracking app that integrates with QuickBooks Online, like many of those we are examining in this series, it also can import time data to QuickBooks Desktop. But it does not offer a direct integration with desktop similar to that used with QBO.
OnTheClock customers describe it as “easy” (to use), yet powerful, because it is simple for employees to clock in and out, but provides a robust set of features, including smartphone apps, paid time off tracking, scheduling, notifications, geofencing, GPS tracking, integrations with numerous payroll providers, and much more.
Managers can view and adjust their assigned employees and time cards. The Administrator can set up permissions for what any manager can do, view or edit. And managers can be responsible for every employee, designated employees, specific groups of employees, particular locations or departments.
The Administrator opens and creates the OnTheClock account and configures the account settings and Managers. Still, the Administrator also can designate additional personnel with admin rights to assist the primary Administrator in performing administrative duties.
One of the new features of OnTheClock is something it calls its Survey Feature, a tool used to measure productivity, streamline company goals and ensure employee safety and well-being. For example, an Administrator can create a survey that populates to any/every employees’ mobile device to check their status like proper safety equipment in use, work schedule status, certification status, etc.
In this pandemic era, I can see how this would be a simple way to obtain verification of COVID vaccination or testing status.
Concerning the OnTheClock import of time to QuickBooks Desktop, you must be aware of some of the limitations of this feature:
- No. 1 — Its Import tool is only compatible with Microsoft-based computers and the Windows versions of QuickBooks; it does not offer an import tool for MAC users and QuickBooks for Mac.
- No. 2 — This requires using its proprietary time-card importer, which you must download and connect to QuickBooks Desktop as a third-party Integrated application. This tool is used to import a CSV Export file downloaded from OnTheClock to a folder on your computer.
- No. 3 — Its QuickBooks Desktop Importer will only send time to the default hourly payroll items (Reg, OT1.5x, OT2x, OT3x, Vacation, Holiday, Sick, Personal) in QuickBooks Desktop (as can be seen above), they cannot send over any salary hour items.
- No. 4 —Job and costing information cannot be sent to QuickBooks Desktop (including jobs, projects, customers, tasks and department information).
- No. 5 —Either its file format or integration tool is incompatible with the Contractor Editions of QuickBooks Desktop for some odd reason.
So, if you are considering this time-tracking product because it does have the ability to send time data to QuickBooks Desktop, you must keep this methodology and these limitations in mind before making your acquisition decision.
