The IRS announced a significant expansion of Tax Pro Account on February 9, making it more useful for tax preparation firms, accounting practices, and other professional organizations. This latest enhancement moves beyond individual practitioner capabilities to support business-level CAF management, a change that could significantly reduce paper headaches for firms serving multiple clients.
What's Changing
Until now, Tax Pro Account primarily served sole practitioners. The new business-level features allow designated representatives to manage their firm's Centralized Authorization File relationships digitally. This means firms can finally move away from paper-based CAF processes and gain real-time visibility into their authorization portfolio.
The update specifically benefits practices using business CAF numbers. If you're a sole proprietor not using CAF systems, this change won't impact your current workflow.
Key Capabilities for Your Firm
The enhanced Tax Pro Account allows business representatives to:
Manage employee authorization access. You can now specify which employees in your firm are authorized to act under the business CAF number, essential for larger practices with multiple preparers.
Link your business CAF to your EIN. This digital connection eliminates manual tracking and creates a clear organizational structure within the IRS system.
View client information at the business level. Access taxpayer balances, payment activity, and audit status for all clients your firm represents within the scope of active authorizations.
Withdraw authorizations efficiently. When client relationships end or change, you can manage these updates digitally rather than submitting paper forms.
Setting Up Your Tax Pro Account
If you haven't already established a Tax Pro Account, here's how to get started:
- Create your individual account first. Visit IRS.gov and navigate to Tax Pro Account. You'll need to verify your identity using ID.me or Login.gov.
- Link your CAF number. Once logged in, you can request or link your individual CAF number through the account dashboard.
- Access business features. If you're a designated business representative, you'll see additional options to link your business CAF number to your firm's EIN and begin managing business-level authorizations.
- Designate employee access. Use the business CAF management tools to specify which preparers in your firm can act under the business CAF.
Why This Matters
This expansion represents the IRS's continued investment in reducing paper processing and improving practitioner experience. For firms juggling dozens or hundreds of client authorizations, digital management means less administrative burden and faster resolution when issues arise.
The foundation laid here will support future enhancements to Tax Pro Account, making it a more comprehensive tool for professional tax businesses. If you're still operating primarily on paper, now is the time to transition to digital CAF management.
Action step: If you haven't already, set up your Tax Pro Account today. The sooner you establish your digital presence, the better positioned you'll be as the IRS continues expanding these capabilities throughout 2026 and beyond.
